Privacy Policy

This policy explains how SDB UK Developments Ltd ("we", "us"), the operator of Vanta Football, collects and uses personal data when you use our website and app. We are the data controller for that data. Company no. 12747873, registered office: Kincraigie, Over Ross Street, Ross-On-Wye, United Kingdom, HR9 7AU.

1. Data we collect

• Account data: name, email address, password (stored hashed by our authentication provider), account type and date of birth or age band.
• Player profile data: position, level, club or team, goals, self-reported attributes and any optional profile or player photo you upload.
• Performance data: assessments, training sessions, plans, progress and XP generated as you use the platform.
• AI conversation data: messages you send to VIA and the responses generated for you.
• Coach and club data: team membership, coach-player links and consent records, and club branding such as logo and display name.
• Billing data: subscription tier and status. Card details are handled by Stripe and are never stored by us.
• Technical data: log data, device and browser information, and referral tracking if you arrive through an affiliate link.

2. Why we use it and our legal bases

• Contract: to create your account, deliver training plans, reports and coaching features, and manage subscriptions.
• Legitimate interests: to secure the service, prevent abuse, improve features and communicate about the product.
• Consent: for optional marketing email, for uploading photos, and for a coach or club to link to a player account. Consent can be withdrawn at any time.
• Legal obligation: to keep accounting and tax records.

3. Children and young players

Vanta Football is used by young footballers. Where a user is under 16, an account must be created or approved by a parent, guardian or other holder of parental responsibility, who provides consent on the child's behalf and can access, correct or delete the child's data at any time. We collect only the data needed to deliver coaching and development features, we do not use children's data for profiling for advertising, and we do not sell personal data. A coach or club cannot link to a young player's account without parent or guardian approval.

4. Sharing

We share data only with service providers that help us run the platform, under contract and on our instructions:

• Hosting, database, authentication and file storage providers.
• AI model providers that process prompts to generate coaching responses, plans and reports.
• Stripe for payment processing.
• Email delivery providers for account and transactional email.

If you accept a link with a coach or club, the data you agree to share (such as your profile, assessments and progress) becomes visible to that coach or club. We do not sell personal data.

5. International transfers

Some providers process data outside the UK and EEA. Where that happens we rely on adequacy decisions or standard contractual clauses with appropriate safeguards.

6. Retention

We keep account and performance data for as long as your account is active. If you delete your account we remove or anonymise your personal data within 30 days, except records we must keep for legal, tax or dispute-resolution reasons.

7. Your rights

You have the right to access, correct, delete, restrict or object to processing of your data, to data portability, and to withdraw consent. To exercise any of these, email support@vantafootball.com. You can also complain to the UK Information Commissioner's Office or your local supervisory authority.

8. Security

Data is transmitted over TLS and stored with access controls that restrict records to the account owner and any coach or guardian they have approved. Uploaded photos are held in private storage. No system is completely secure, so please use a strong, unique password.

9. Cookies and similar technologies

We use storage that is strictly necessary to keep you signed in and to remember an affiliate referral for up to 60 days. We do not use advertising cookies.
